ArdentAces
For CPAs, accounting firms & advisory practices

The capacity partner your firm was built to deserve.

A CIMA, ACCA, and CA-certified bookkeeping team that works inside your tools, under your brand, on your timeline. Relieve capacity pressure without adding headcount — or compromise.

The pattern

You didn't build your firm to babysit bookkeeping.

Every quarter, the same pattern. Tax season arrives. Clients expect more. Staff quit, or get expensive. Margins compress. And the work that should live below the line — reconciliations, categorizations, month-end closes — starts eating the time your firm should spend on advisory, planning, and growth.

Hiring internally is slow and costly. Most outsourcing options are cheap for a reason. You need something different: a senior-grade team you can actually introduce to your partners without flinching.

The A&A answer

A silent extension of your firm. Not another vendor.

Ardent & Aces is a co-sourced bookkeeping partner built specifically for the CPA profession. We operate inside your software stack, follow your firm's standards, and work in a way that's invisible to your clients — or, when you prefer, visible as part of your team.

Your tools.

We work natively in QuickBooks Online, Xero, and whatever else your firm standardizes on. No forced migrations. No new systems to learn.

Your standards.

Firm-level workflows, review checklists, documentation conventions — we adopt yours. Our deliverables match the format, tone, and precision your partners already expect.

Your brand (or ours, you choose).

White-label is the default. If you want us to speak directly with your clients under the A&A name, we do that too.

CPA pricing

Fixed-fee. Per client. Predictable.

Every CPA engagement is different, so we don't quote off a sticker. A 30-minute discovery call lets us scope each end-client properly — then we lock the fee. You set the markup. We deliver the work.

Fixed-fee, per end-client.

Each engagement is priced as a single monthly fee. No hourly billing. No surprise add-ons later.

Quoted on a scoping call.

A 30-minute call lets us understand the client's volume, complexity, software, and your firm's deliverables — then we put a number on it.

Locked once set.

Your fee doesn't move unless the scope materially changes. Predictable for you. Predictable for your margin.

You keep the markup.

You set your client-facing price. We deliver the work at a fixed fee that lets you protect your firm's margin.

Security & confidentiality

Your clients' data deserves institutional-grade handling. We agree.

Mutual NDAs standard.

Every engagement begins with signed confidentiality. Every bookkeeper on your account is individually bound.

Encrypted file exchange.

Data moves through encrypted channels. No client files stored on personal devices. Role-based access, MFA across every tool.

Segregated assignments.

Your firm's clients are handled by a dedicated team with no overlap to competing firms.

SOC 2 roadmap.

Compliance is a commitment, not a marketing line. We are on a structured path to SOC 2 Type II, and we share our progress transparently.

FAQ

Questions from firm leadership.

Will your team speak directly with our clients?+

Only if you want us to. White-label is our default posture — we work behind your firm's name, in your communication standards. If you'd rather introduce us as part of your team, we do that too.

What software do you work in?+

QuickBooks Online and Xero are our specialty. We also support Wave, Zoho Books, and most common ancillary tools (Bill.com, Gusto, Dext, etc.).

How is pricing structured?+

Fixed monthly fee, per end-client, scoped on a discovery call. We don't quote off a sticker — we listen, understand the scope, and quote a single number that reflects the real work. You set your own client-facing price and keep the margin.

What's your turnaround on month-end closes?+

Books closed within 5 business days of period-end. Individual transaction queries addressed within 24 hours.

How do you protect our clients' data?+

Mutual NDAs on every engagement, individual bookkeeper confidentiality bindings, encrypted transfer, MFA across all tools, segregated team assignments, and an active SOC 2 Type II roadmap.

What if we already have internal bookkeeping staff?+

We work alongside them, not against them. Most of our CPA partners use us for overflow, seasonal surge capacity, or to free their internal team for higher-value work.

Can we start with just one client as a pilot?+

Yes. Most firms begin with 1–3 clients in the first 30 days, then expand once they see the output quality and the process rhythm.

How do you handle staff turnover on our account?+

Engagement documentation is firm-level, not individual. If a bookkeeper on your account transitions, a fully-briefed senior picks up without disruption. You won't feel it.
