How Ardent & Aces collects, uses, and protects personal information you share with us through this website and during engagement.

1. Who we are

This website (ardentandaces.com) is operated by Ardent & Aces Group (Pvt) Ltd (“Ardent & Aces,” “we,” “us,” or “our”), a company incorporated in Sri Lanka providing bookkeeping and back-office services to clients in the United States. For privacy questions, write to hello@ardentandaces.com.

2. Scope of this policy

This policy covers personal information collected through ardentandaces.com and through informal communications with us (email, scheduling tools, discovery calls). It does not cover personal information you provide to us as part of an executed client engagement — that information is governed by the engagement letter, mutual NDA, and (where applicable) Data Processing Addendum signed between us and the client, which take precedence over this summary.

3. Information we collect

We collect only what we need to respond to you and run the site:

  • Information you submit through the contact form: name, email, company, phone (optional), and the contents of your message.
  • Information from email or calls: anything you voluntarily share when you write to us, book a call via Calendly, or join a discovery conversation.
  • Basic technical data: IP address, browser type, pages viewed, referring page, and timestamps. This is collected automatically by our hosting provider for security and performance, and is retained as standard server logs.

We do not currently use third-party analytics, advertising cookies, or tracking pixels. If we add analytics later, this policy will be updated and a clear notice will appear on the site.

4. How we use information

  • To respond to your inquiry and follow up about our services.
  • To schedule and conduct discovery calls.
  • To prepare scoping documents, proposals, and engagement letters if there’s a fit.
  • To operate, secure, and improve the website and our internal processes.
  • To comply with applicable law and to enforce our rights and agreements.

We do not sell personal information. We do not enroll you in marketing email lists without your explicit opt-in.

5. Service providers we rely on

We rely on a small number of established service providers to operate the site. Each is bound by its own terms and security standards:

  • Vercel — website hosting and request logs.
  • Google Workspace — business email and document storage at our company domain.
  • Calendly — scheduling discovery calls (when used).
  • Email delivery / form processor — if and when configured, used to forward contact-form submissions to our team inbox.

We do not transfer your information to these providers for any purpose other than the service they provide to us.

6. International transfers

Ardent & Aces is a Sri Lankan company serving clients in the United States and other jurisdictions. Information you submit may be processed in Sri Lanka, the United States, and any country in which our service providers operate. We rely on contractual safeguards and recognized transfer mechanisms where required.

7. Retention

We keep contact-form and inquiry information for as long as reasonably necessary to follow up, evaluate fit, and (if you become a client) maintain the engagement record. You can ask us to delete it at any time, subject to retention obligations imposed by law, professional standards, or an active engagement.

8. Your choices and rights

Depending on where you live, you may have the right to access, correct, delete, or port your personal information, and to object to or restrict certain processing. To exercise any of these rights, write to hello@ardentandaces.com. We respond within a reasonable time and may need to verify your identity before acting on a request.

9. Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information against loss, misuse, and unauthorized access. No method of transmission or storage is perfectly secure; we cannot guarantee absolute security.

10. Children

The site is intended for business audiences. We do not knowingly collect personal information from anyone under 16. If you believe a child has submitted information through the site, please write to us and we will delete it.

11. Changes to this policy

We may update this policy from time to time. The “Last updated” date at the top reflects the most recent revision. Material changes will be highlighted on the site or sent to you directly when appropriate.
